Cold rooms are designed for processing data that are highly restricted due to their sensitive nature. They provide maximum protection against the risks of disclosure violations. At IBS, these rooms have solid doors, no exterior windows, no active ethernet/phone jacks, automatic locking doors, and restricted key access. Only authorized personnel are allowed to have a cold room key. The principal investigator and the IBS systems administrator are authorized as well as persons approved by the principal investigator.
Computer user accounts are restricted to the same persons who are authorized for cold room key access. These are created by the IBS systems administrator after authorization by the principal investigator. If requested by the principal investigator, the IBS systems administrator will set up files/folders with increasing levels of secure access and authorized users will be assigned to a group with the level of access approved by the principal investigator.
